Terms of service

These terms are between Fox Online Limited (trading as Ciclex) ("Ciclex", "we") and the gym that signs up ("you"). By creating an account you agree to them.

Ciclex provides software for running a gym: memberships, payments through Stripe, a member portal, and optional Modules such as Class Management, Contracts & Waivers, Day Passes, Promotions and Point of Sale. We may improve or change features over time.

Your first 50 active members are free. Above that we charge a monthly price set by how many active members you have, as shown on our pricing page. Membership management is included at every tier.

Each Module is a separate subscription with its own monthly price, shown in the App Store inside your dashboard. The first time you turn a Module on it starts with a 7-day trial period at no charge. You can turn a Module off without affecting the rest of your plan.

There is no setup fee and no annual price rise.

Payments from your members go to a Stripe account that you own. You are the merchant, and your agreement with Stripe covers those payments. Ciclex takes no fee on them. Stripe's own fees are between you and Stripe.

Your members' customers, subscriptions and payment history live on your Stripe account, so they continue if you stop using Ciclex.

You are responsible for having a lawful basis to collect your members' information and for what you tell them about it. We process that information on your behalf, as described in our Privacy policy, and we do not use it for our own purposes.

You keep ownership of the content and member records you put into Ciclex.

There is no minimum term and no cancellation fee. To cancel, email support@ciclex.com and we will end your subscription. Cancelling Ciclex does not cancel your members' subscriptions, which keep billing from your Stripe account.

If you are leaving, we will help you disconnect cleanly and will remove your data as set out in our Privacy policy.

You agree not to use Ciclex to break the law, to send unsolicited marketing, to attack or overload the service, or to access another gym's data.

We work to keep Ciclex available but cannot promise it will never be interrupted. Nothing in these terms limits liability that cannot be limited by law. Subject to that, our total liability to you for a claim is limited to the amount you paid us in the twelve months before it arose, and we are not liable for indirect or lost-profit losses.

If we change these terms in a way that matters, we will update the date at the top and email gym owners before it takes effect.

These terms are governed by the law of England and Wales.
